The missing item might be final sales, confirmation of one large payment or subcontractor cost for a particular job. Each requires different work. This article is for small businesses where a lean accounting team prepares reports the owner waits on before acting. Focus on returning an unresolved number to its source and responsible person rather than merely drafting commentary. A plausible reason for a discrepancy is different from a verified explanation. Without that distinction, presentation quality can improve while the reliability of the decision material stays unchanged.

Our interpretation is a design in which the reader of an explanation can return to the record needing verification. A conversational interface matters less than being able to identify where an amount came from. That makes the owner’s question concrete instead of forcing accounting to rebuild an analysis each time someone asks about a difference. The following is our original approach to managing pending checks, not a reconstruction of Campfire’s features. It is neither a product recommendation nor advice on a particular journal entry or tax treatment. Its scope is the handoff between finding an exception and establishing what it means.
Hypothetical example: a payment that appears missing

Imagine a fictional service firm has an invoice marked unpaid and a bank receipt for a similar amount under a different name. AI may propose a possible match, but a close amount alone must not establish settlement. Show invoice identifier, customer, due date, statement name, date, amount and the reason for suggesting the match. An employee checks the payer identity and whether a partial payment is involved, records the finding and only then proceeds through the authorized process. Show the owner confirmed unpaid items separately from unresolved matches. Treating all pending matches as collection targets could trigger unnecessary contact with customers who already paid. This example illustrates a verification sequence, not an actual transaction or an accounting determination.
Separate calculation, explanation candidates and final action

Applying that general principle, place totals and differences in a reproducible calculation step, while AI organizes possible explanations and questions. Show the reviewer the relevant rows, keeping verified reasons separate from open hypotheses. If status exists only inside free-form commentary, next month’s reviewer cannot easily tell what was checked. Preserve the input period and update time so later-arriving statements can explain a changed result. The method source supplies a general design reference; it does not independently validate customer closing speed or the figures. Retaining a named owner for final action is the operating boundary proposed here.
What action becomes possible when the number arrives sooner?

Avoided expenditure and changed project contribution describe outcomes and should be assessed separately. If correcting AI commentary adds work, a shorter output showing only the difference and supporting records may fit better. More readable paragraphs are not inherently a more useful management report.
Begin with a question repeated in the management meeting

Select a recent management-meeting question about why two figures differed. Trace which data the employee opened, whom they asked and what evidence finally made an answer possible. That path identifies the inputs for reconciliation and where AI explanation could help. If the source location and period are unresolved, a chat interface may merely conceal the problem. An A&A discussion can start with an anonymized difference and its review sequence, separating reproducible calculation, employee judgment and the status presented to the owner. Before replacing an entire monthly process, establish a supported answer to one question that repeatedly sends people back to the underlying records.
Use AI to connect unresolved differences with evidence and ownership before asking it for definitive explanations. Assess what decisions changed separately from closing dates and processing time.
