Privacy policy

How A&A handles information for inquiries, AI advisory and development, and existing guide registrations.

Who we are and what this policy covers

株式会社Automate&Augment (Automate & Augment Inc.; Representative Director: Kazuya Hibara; public location: Tokyo, Japan; “we”) provides AI advisory, business AI foundations, and AI product development. This policy covers this website, inquiries, our free guides, and the personal information we handle.

Information collected for inquiries

We collect your company name, name, email address, message, optional website URL and service interest, and agreement to this policy. We use this information to respond, understand your inquiry, arrange a meeting, and prepare related proposals, contracts, and services. Agreement on the contact form does not subscribe you to promotional updates for the free guide.

If you submit the former inquiry format, we also use any business type, managed-unit count, current methods, systems, and consultation category you provide to respond. Notification emails include the interface language and a receipt reference. We record receipt references, email-delivery identifiers, and processing outcomes for operational checks. To limit abusive submissions, a value derived from the IP address and request counts are handled in temporary server memory.

Contact submissions are sent to our business mailbox through Resend. They are not stored in the free-guide registration database. We handle the email and subsequent correspondence in Google Workspace. Information shared directly by email or LINE is also used as necessary for that correspondence.

Information shared during our work

If advisory or development work involves business documents or information about customers, employees, or others, we confirm the purpose, information involved, systems used, access permissions, and retention and deletion arrangements for the engagement. We handle information entrusted to us within the agreed scope of work.

If a solution requires sending business data to an external AI service, we review the information to be sent, the service terms, and its training-use and retention settings, and use it within the scope agreed with the client. For an initial inquiry, please start with an overview that omits customer names and confidential information.

Existing free guides and surveys

Our existing free guide for real-estate businesses collects company name, name, role, email address, optional phone number, business type, number of managed units, operational challenges, current methods, desired features, optional workload estimates and comments, interest in early updates, and consent. We use this information to email the guide, follow up on the survey, and improve products and services.

We store responses, registration and consent details and timestamps, delivery status, and unsubscribe preferences in a database we manage. Survey responses and unsubscribe preferences are synchronized to our business Google Sheets for review and analysis. These sheets are not public.

Promotional emails, including early updates, are sent to those who request them. You can receive the free guide without opting in. You can unsubscribe using the link in the email, by replying, or by contacting us below.

Website and guide activity and cookies

To improve the campaign, we associate the invitation variant and referral attribution with guide views, registrations, and downloads. Cookies for guide access and attribution expire after 30 days; a cookie identifying a sequence of visits expires after 30 minutes. These cookies do not contain names or email addresses, but identifiers may link them to registration records.

If you send a consultation reference number through LINE, we use it to associate your consultation with your guide activity. Disabling cookies in your browser may prevent features such as viewing the guide after registration.

To improve the website, we associate article, comparison and regional-page views with consultation actions and inquiry acceptance. These records use random visitor and session identifiers, public content identifiers and registered source categories. The cookie that associates content and referral context expires after 30 days. Form contents and the characters being typed are not sent to analytics.

Service providers and analytics

Resend handles contact notifications and free-guide delivery emails, including the recipient information and message content needed for delivery. Google Workspace handles business email and the survey and unsubscribe records described above.

Umami, an analytics system we manage, aggregates pages viewed and guide activity. We do not send names, email addresses, survey responses, guide access tokens, or LINE user IDs to this analytics system. URL query strings, fragments, and referrers are also excluded.

PostHog, in its United States region, helps us analyze the path from content to a consultation. We send random identifiers, public article and page identifiers, registered source categories, and the type and time of an action. We do not send names, email addresses, inquiry text, LINE user IDs or full URL query strings. Session recording and automatic form-content collection are disabled.

We use LY Corporation’s LINE service for correspondence through our existing official LINE account. Information handled by external services may also be subject to their terms and privacy policies.

Processing providers and third-party disclosure

We entrust processing such as email delivery to service providers where necessary for the stated purposes, and manage and supervise that processing according to the provider and information involved. We do not provide personal data to third parties without consent except where permitted by applicable law. When information is entrusted to a provider outside Japan, we carry out the checks and measures required by applicable law.

Protection and retention

We take measures appropriate to the information and work involved, including access restrictions and credential management, to prevent loss, unauthorized use, and disclosure. Retention depends on the need to handle inquiries, perform contracts, meet legal recordkeeping requirements, and address disputes. Information no longer needed is deleted or made non-identifying.

We may retain unsubscribe records to prevent further promotional emails. Cookie expiry periods are separate from the retention period for registration records.

Access, correction, and other requests

Contact us below to request notification of purposes, access, correction, restriction of use, deletion, or other action concerning your personal information. We verify identity and respond in accordance with applicable law. The same contact handles questions and complaints about information handling and protective measures.

We publish changes to this policy on this website and provide additional notice or obtain consent where required by law.
