Ongoing AI advisory vs one-time requirements: buying a clear project decision

A decision that ends does not automatically require a continuing contract. Requirements work should make a project commissionable; advisory supports changing business and AI decisions over time.

A hypothetical example

Hypothetical case: generate a quote from a price list, with owner approval only for discounts. Defining price effective dates, approval rules and output formats can make the development scope quotable. By contrast, monthly decisions across sales, training and several system investments create an ongoing advisory need. A retainer offering only AI news does not supply the specification required for that single quotation project.

What changes the business outcome

For requirements, assess whether supplier quotes become comparable and acceptance disputes become less likely. For advisory, record the decisions changed and what happened after implementation. Meeting counts and slide counts do not establish business value.

Which conditions favor each option?

Ongoing AI advisory

Consider advisory when multiple investments and operating priorities need continuing reconsideration. Reassess the contract if there are no meaningful recurring decisions.

One-time requirements

Choose bounded requirements when one commissioning decision is the objective. A supported decision not to build can also be a valid outcome.

Compare the cost structure

Evaluate a retainer over its intended term including internal participation. Quote one-time discovery by interviews, documentation, review and technical validation. Agree how new integration constraints or extra investigation are handled, separately from development fees.

Before signing

  • After this decision, what specific issues will need monthly discussion?
  • Could another developer use the deliverable to produce a meaningful quote?
  • Will a no-build conclusion and unresolved constraints be documented too?
